    Exhibitor Information

    Tabletop and Product Spotlight – $5,000 (Up to 4 spots available)

    Includes:

    • Exclusive
      • A 15-minute Product Spotlight Presentation during scheduled conference breaks, providing a prime opportunity to engage attendees.
      • AV Support Provided (microphone, projector, screen) to ensure a professional and impactful presentation.
    • Tabletop Exhibit
      • One 6-foot tabletop – no larger due to space limitations
      • Up to two representatives at table
      • Two chairs and one trash receptacle
    • Complimentary listing in the conference program when payment in full is received by September 8, 2025
    • One registration (meeting attendance and meals)

    Tabletop Exhibit – $2,500

    Includes:

    • One 6-foot tabletop – no larger due to space limitations
    • One registration (meeting attendance and meals)
    • Up to two representatives at table Two chairs and one trash receptacle
    • Complimentary listing in the conference program when payment in full is received by September 8, 2025

    Literature Display – $ 750

    Provides an opportunity to display pamphlets, flyers, magazines, and any other free materials. Materials will be displayed at the start of the conference and left out until supplies are exhausted. This is not designed for book sales or for other promotional sales. Literature displays alone do not include complimentary registration to the Annual Meeting. If you would like to attend the Annual Meeting, you must register as an attendee.

    Our exhibitor space is located in a highly visible area. The exhibit hall will be open as indicated on the schedule. Refreshments will be provided periodically in this area.

    Thursday, November 6

    Initial setup: 7:00 am – 9:00 am
    Exhibit Hall open: 9:00 am – 5:00 pm

    Friday, November 7

    Exhibit Hall open: 7:00 am – 4:00 pm

    Saturday, November 8

    Exhibit Hall open: 7:00 am – 12:00 pm
    *Breakdown 12:30pm – 1:00 pm

    • AAAP does not accept organizations/companies that sell products and services on-site.
    • AAAP does not provide exhibitors with an attendee list.
    • AAAP does not provide exhibit floorplans to exhibitors in advance of the meeting.
    • The exhibitor area will not be open for exhibitors to set up until November 6 at 7:00 am.

    No commercial promotional materials shall be displayed or distributed in the same room immediately before, during, or after an educational activity certified for credit takes place.

    Representatives of commercial companies may attend an educational activity, but they may not engage in sales activities while in the room where the educational activity takes place.

    AAAP expects all participants, including attendees, vendors, and staff, to conduct themselves in a professional manner that is welcoming to all participants. Participants should treat each other with mutual respect, well-being, and collegiality. All individuals agree to conduct themselves in a manner appropriate for healthcare professionals.

    Participants will avoid any inappropriate actions or statements based on individual characteristics such as age, race, ethnicity, sexual orientation, gender identity, gender expression, marital status, nationality, political affiliation, ability status, educational background, or any other characteristic protected by law. Disruptive or harassing behavior of any kind will not be tolerated.

    If an individual believes that this policy has been violated or breached, they shall notify AAAP’s CEO to address the situation. AAAP reserves the right to remove meeting access for any individual violating this policy and will not be provided a refund.

    By registering for this meeting, you agree to abide by the Code of Conduct Policy as described above.

    Cancellation requests must be submitted in writing no later than October 1, 2025, and will be reimbursed by 50%. Reimbursements will not be granted after October 1, 2025. Please note that this is due to space and food numbers already being sent to the hotel.

    All boxes and packages are received through the hotel’s shipping and receiving department, which can be contacted at 415-772-5227. Packages should arrive at the hotel no more than 3 days prior to the guest or group’s arrival. **Packages received more than 72 hours prior to group arrival will incur an additional $5.00 fee, per item, per day.

    Before exhibitors are approved, they are required to complete the online registration form. Exhibitors are expected to adhere to this Exhibitor Agreement throughout the conference.

    Sponsorship Information

    Gold – $25,000

    • Support travel awards for ten residents/fellows/medical students to attend the Annual Meeting.
    • Host a one hour webinar in advance of the meeting for AAAP members and host a breakfast table one morning at the Annual Meeting for attendees to network with you.
    • Promotional flyer provided at registration (provided by sponsor).
    • Your organization’s name will be listed as a sponsor on the Annual Meeting program, slide decks shown in the main ballroom, registration table, and the 36th Annual Meeting website.

    Silver – $12,500

    • Travel award support for five residents/fellows or medical students to attend the Annual Meeting.
    • Your organization’s name will be listed as a sponsor on the Annual Meeting program, slide decks shown in the main ballroom, registration table, and the 36th Annual Meeting website.

    Bronze – $ 10,000

    • Travel award support for three residents/fellows or medical students to attend the Annual Meeting.
    • Your organization’s name will be listed as a sponsor on the Annual Meeting program, slide decks shown in the main ballroom, registration table, and the 36th Annual Meeting website.

    Reception – $ 20,000 (Up to 2 spots available)

    • This allows your organization to support one (1) reception for Annual Meeting attendees.
    • Up to two receptions available for sponsorship.
    • Your organization’s name will be listed as a sponsor on the Annual Meeting program, slide decks shown in the main ballroom, registration table, and the 36th Annual Meeting website.

    Coffee Break Support – $ 15,000 (Up to 3 spots available)

    • This allows your organization to sponsor one (1) coffee break during the Annual Meeting.
    • Up to three coffee breaks available for sponsorship.
    • Your organization’s name will be listed as a sponsor on the Annual Meeting program, slide decks shown in the main ballroom, registration table, and the 36th Annual Meeting website.

    Charging Station – $ 5,000 (Up to 5 spots available)

    • This allow your organization to help attendees get charged up with one (1) branded charging station placed strategically for maximum exposure.
    • A small sign featuring your logo will be displayed at the station you sponsor.
    • Five charging stations available for sponsorship.

    Yoga Class – $ 3,000 (Up to 2 spots available)

    • Strike a pose and find your inner Chi. Great opportunity to help attendees exercise their minds and bodies.
    • Two classes available for sponsorship.

    PLEASE NOTE: 

    All sponsorships receive one complimentary registration to the Annual Meeting and one exhibit booth in compliance with terms and conditions for exhibitors. This allows you to network with attendees, showcase your offerings, and increase your brand visibility.
